Configuring Your Sales Process

Configure your team's sales methodology so Olli can provide stage-appropriate guidance on every deal.

What is Sales Process Context?

Sales Process Context lets you define what your AEs do at each stage of your pipeline. Once configured, Olli uses this information to:

  • Provide stage-specific recommendations when discussing deals

  • Suggest next steps based on your exit criteria

  • Align guidance with your team's methodology

Think of it as giving Olli your internal sales methodology.


Accessing Sales Process Settings

  1. Click the Settings icon in the left sidebar

  2. Select Sales Process from the menu


Two Ways to Configure

You can populate your sales process context in two ways:

Option 1: Upload a Document (Recommended)

If you have an existing sales process document, Olli can extract stage definitions automatically.

  1. In the Upload Sales Process Document section, click the upload area or drag and drop your file

  2. Wait for processing — Olli will analyze the document and extract relevant information

  3. Review the extracted content in the Stage Definitions below

  4. Make any edits as needed

  5. Click Save Changes

Supported formats: PDF only

Maximum file size: 10MB

Tip: Methodology guides, stage definition documents, and sales process overviews work best. The more detailed your document, the better the extraction.

Uploading Multiple Documents

Each upload is additive — you can upload multiple documents and Olli will combine the information to build richer context. For example:

  • Upload your sales methodology overview first

  • Then add a document with detailed stage definitions

  • Follow up with exit criteria documentation

Olli merges new information with existing context, preferring more detailed or specific content when there's overlap. This lets you build comprehensive sales process guidance over time without starting from scratch.


Option 2: Manual Entry

Prefer to enter information directly? Skip the upload and fill in the fields manually.

  1. Expand any stage by clicking its name

  2. Enter a Stage Description — What happens in this stage? What are the key activities and objectives?

  3. Enter Exit Criteria — What must be true before a deal moves to the next stage?

  4. Repeat for each stage

  5. Click Save Changes


Stage Definitions

Each stage in your pipeline has two fields:

Exit Criteria

Requirements that must be met before advancing to the next stage

Your stages are pulled from your Pipeline settings (/settings/pipeline). If you need to add or rename stages, update them there first.


How Olli Uses This Context

Once saved, Olli automatically incorporates your sales process into conversations:

  • When you discuss a deal, Olli references the relevant stage guidance

  • Recommendations align with your methodology, not generic advice

  • Exit criteria help Olli suggest what needs to happen next

Example: If a deal is in "Qualification" and your exit criteria requires identifying a champion, Olli might ask about stakeholder mapping.


Troubleshooting

Document upload stuck on "Processing"

  • Large or complex documents may take 30-60 seconds to process

  • If processing fails, try a simpler PDF or enter information manually

  • Check that your file is under 10MB

Stages show "No data yet"

  • Stages without descriptions display this placeholder

  • Either upload a document or manually enter stage definitions

My stages don't match what I uploaded

  • Olli maps extracted content to your existing pipeline stages

  • If your document uses different stage names, the mapping may need manual adjustment

  • Review and edit the extracted content as needed

Changes aren't reflected in Olli's responses

  • Make sure you clicked Save Changes

  • Start a new conversation to see updated guidance
