Admin Onboarding Checklist

A guided setup experience for organization admins to configure team access, integrations, and sales context — so your reps can hit the ground running with Fluint and Olli.

Overview

The Admin Onboarding Checklist appears when an organization admin first logs into Fluint on a Startup plan. It walks you through essential setup steps grouped into four sequential workflows: Add Your Team, Add Company Context, Add Olli Where You Work, and Create Custom Plays.

Key Benefits:

  • Guided setup — A clear, step-by-step path through initial configuration so nothing gets missed

  • Flexible completion — All steps are skippable, and multiple admins can work through different workflows

  • Progress tracking — A progress bar shows how many required steps have been completed

  • Sequential unlocking — Workflows unlock as you complete required steps, guiding you through setup in the right order

Who Sees the Onboarding Checklist

The checklist appears for users who meet all of the following conditions:

Condition

Details

Admin role

Only organization admins see the checklist

Qualifying plan

Organization must be on a Startup Monthly or Startup Annual plan

Not yet completed

The org-wide “Mark setup as complete” action has not been triggered

Overview Screen

When the checklist loads, you see a progress bar and four workflow cards. The progress bar tracks required tasks only — optional tasks don’t affect your completion percentage.

Each workflow card shows:

  • The workflow name and a brief description

  • A completion count (e.g., “1/1”) and progress indicator

  • A Start button to open that workflow’s carousel

  • A lock icon if the workflow hasn’t been unlocked yet

Workflow Unlocking

Workflows unlock sequentially as you complete required tasks:

Workflow

Unlocks When

Step 1: Add Your Team

Always available

Step 2: Add Company Context

After Step 1’s required tasks are complete

Step 3: Add Olli Where You Work

After Steps 1 and 2’s required tasks are complete

Step 4: Create Custom Plays

After Steps 1 and 2’s required tasks are complete

Step 1: Add Your Team

This workflow covers adding users to your organization.

Add Team Members (Required)

Invite your team members to start using Fluint. You can add users one at a time or upload a CSV for bulk invitations.

Individual invitations:

  • Enter the team member’s first name, last name, and email

  • Click Add to List

  • Repeat for additional team members

  • Click Send Invitations to invite everyone at once

CSV bulk upload:

  • Click Download template to get the CSV format

  • Fill in the template with your team’s information (columns: email, first name, last name)

  • Drag and drop the CSV file or click to upload

  • Review the validation results and fix any errors

Important: Make sure team members’ email addresses match their CRM login emails. This ensures deals sync correctly to the right users when you connect your CRM integration.

Note: SSO and SCIM provisioning are available on Enterprise plans only and are not shown in the Startup onboarding checklist.

Step 2: Add Company Context

This workflow configures the knowledge Olli uses to generate tailored, on-brand content.

Set Up Global Context (Required)

Configure your company information, products, and competitive landscape for Olli to reference. Without this, Olli’s responses are generic instead of tailored to your business.

  • Click Go to Settings to open the global context page

  • Fill in your company details, product information, and competitive landscape

Step 3: Add Olli Where You Work

This workflow connects Fluint to your team’s key tools.

Connect CRM (Optional)

Connect your CRM (Salesforce or HubSpot) to sync deals and contacts automatically. Olli can then provide account-specific insights without manual data entry.

  • Click the card for your CRM provider (Salesforce or HubSpot)

  • This opens the integration setup page in a new tab

  • Follow the connection wizard to authorize and configure the integration

Tip: For detailed setup instructions, see the Salesforce Integration Self-serve Guide or HubSpot Integration Self-serve Guide.

Configure Pipeline Dashboard (Optional)

Customize your pipeline view with the metrics and stages that matter to your team. This gives everyone a unified view of deal health and pipeline status aligned with your CRM.

  • Click Go to Settings to open the dashboard configuration page

  • Select which stages and metrics to display

Other Integrations (Optional)

Connect additional tools your team uses to get more out of Fluint:

Integration

Description

Slack

Chat with Olli and analyze deals directly in Slack threads

Gong

Sync call recordings and conversation intelligence

Salesloft

Sync conversations and engagement data

Clari Copilot

Sync call recordings and revenue insights

Click on any integration to open its setup page in a new tab.

Tip: For detailed setup instructions, see the Slack Integration Guide or Call Integration Guide.

Step 4: Create Custom Plays

This workflow configures your sales process and reusable playbooks.

Configure Sales Process (Optional)

Define your sales stages, qualification criteria, and deal workflow aligned with your CRM pipeline. Olli uses your sales process to recommend next steps, identify risks, and coach reps on the right actions at each stage.

  • Click Go to Settings to open the sales process configuration page

  • Map your pipeline stages and define qualification criteria

Create Frameworks (Optional)

Build reusable frameworks for discovery calls, demos, and other sales conversations. Frameworks ensure your team follows proven playbooks, and Olli uses them to generate prep materials and follow-up actions.

  • Click Go to Settings to open the frameworks page

Set Up Chat Flows (Optional)

Configure automated chat workflows for common sales scenarios and objection handling. Pre-built chat flows help reps handle common scenarios consistently, reducing ramp time for new hires.

  • Click Go to Settings to open the chat flows page

Set Up Playbook Automations (Optional)

Configure automated playbooks that trigger document generation and workflow actions based on deal stage changes and meeting events. Playbooks automate repetitive tasks like document generation and notifications, ensuring consistent execution across your team.

  • Click Go to Settings to open the playbook page

Completing Onboarding

When all required steps reach 100% completion, a banner appears:

“All required steps complete! Your team is ready to use Fluint.”

You have two options:

Continue to Olli — Click this button to go straight to Olli and start using Fluint. The checklist will remain visible for other admins until setup is marked complete.

Mark setup as complete — Click this link below the “Continue to Olli” button to permanently dismiss the checklist. This opens a confirmation modal warning that:

  • This dismisses the onboarding checklist for all admins in your organization

  • This action cannot be undone

  • It does not affect any settings you’ve already configured

Important: Make sure all admins have completed (or plan to skip) their assigned workflows before marking setup as complete. Any incomplete steps can still be configured later in Settings.

Note: If all visible tasks are completed (both required and optional), the checklist automatically marks setup as complete.

Frequently Asked Questions

Sign-Up & Billing

Q: How do I sign up for Fluint for Startups?

A: Visit the Fluint for Startups sign-up page from our pricing page. Create your account, verify your email, choose your plan (Monthly or Annual), add a payment method, and activate your 7-day free trial. The entire process takes just a few minutes.

Q: What happens when my trial ends?

A: Your subscription automatically converts to a paid plan on whichever plan you selected (Monthly or Annual). Your card on file will be charged at that time.

Q: Can I switch between monthly and annual plans?

A: Yes. Go to Settings → Billing to change your plan. Upgrades take effect immediately. Downgrades are scheduled for the end of your current billing period.

Q: How do I cancel my subscription?

A: Contact [email protected] or manage your subscription in Settings → Billing. When cancelled, your CRM integrations are automatically disconnected and your organization is downgraded to the Free plan.

Q: What happens to my data if I cancel?

A: Your data is preserved on the Free plan — you won’t lose deal history or documents. However, CRM integrations are disconnected and would need to be reconnected if you resubscribe.

Admin Onboarding Checklist

Q: I don’t see the onboarding checklist — what gives?

A: The checklist only appears when all of these conditions are met: you’re an admin, your organization is on a Startup plan (Monthly or Annual), and onboarding hasn’t been marked as complete. If another admin already clicked “Mark setup as complete,” the checklist won’t appear for anyone. Contact [email protected] if you believe it should be visible.

Q: Can I get the checklist back after it’s been completed?

A: No. Once “Mark setup as complete” is clicked, the checklist is permanently dismissed for all admins in the organization and cannot be restored.

Q: Does completing setup affect my team’s access?

A: No. Marking setup as complete only dismisses the onboarding checklist. It does not change any settings, permissions, or integrations you’ve configured. Settings you haven’t configured yet can still be changed at any time.

Q: Can different admins work on different workflows?

A: Yes. The checklist is designed for multiple admins to work in parallel. For example, your IT admin can handle the Manage Team workflow while a sales leader configures Company Context. Task completion is tracked org-wide, so everyone sees the same progress.

Q: Why are some workflows locked?

A: Workflows unlock sequentially. Step 2 (Add Company Context) unlocks after you complete the required tasks in Step 1 (Add Your Team). Steps 3 and 4 unlock after both Steps 1 and 2 are complete. This ensures your team is set up in the right order.

Q: Where do I configure these settings after onboarding?

A: Every task in the checklist corresponds to a page in Settings. Here’s where to find each one:
